The Process

  • Submit your enquiry:
    Complete your event brief using the S&W Group dedicated enquiry form via the button above.

  • We confirm receipt:
    A member of our team will acknowledge your request and get in touch if we need any additional information.

  • Initial proposal:
    You will receive an initial bespoke proposal by email, with options tailored to your brief. Depending on the event style, this may be an initial overview rather than a fully costed proposal. We aim to provide this within 48–72 hours (2–3 working days) of receiving your brief although it is often within 24 hours. Any delays are typically due to venue response times rather than our team, and proposals for events outside London may take longer as venues can be slower to respond.

  • Feedback & Shortlist:
    Review the options and let us know what you’d like to change, or shortlist the venues that best meet your requirements.

  • Fully costed quote
    We’ll refine the proposal and provide a full, itemised costing for your shortlisted venue

  • Site Visits:
    We can arrange site visits to shortlisted or preferred venues:
    – Smaller events across the UK – you’ll typically attend unaccompanied.
    – Larger London events: an Eureka Events manager will attend with you (no fee)
    – Larger events outside London: a fee applies for an Eureka Events manager to attend. Quote on request.

  • Contracting:
    Once you a venue has been selected we’ll send a contract for signature by your authorised signatory.

  • Invoicing and Payment:
    We’ll issue an invoice for the amount due (deposit or full balance, depending on timings). Please provide the approved PO number for inclusion on the invoice.
    Please note payment due dates — deposits may be required immediately to secure a venue.
    A venue is not confirmed until the required payment has been received and confirmation is provided in writing.
    All payments must be received before the event date.

  • Handover and event delivery:
    Smaller meetings and events: we’ll introduce you to the venue contact to finalise details (dietaries, timings, etc.). Any additions agreed directly with the venue must be approved client side and shared with Eureka Events so we can invoice and receive payment before the event date.
    Larger events: Eureka Events remains your main point of contact throughout planning and delivery.

  • On site management:
    Please see the table below for when an event manager is included and when it can be added for a fee. For larger events we will recommend the on site management required and any fee involved.

Our preferred supplier agreements are in place to make organising an event as straightforward as possible. By using Eureka Events as your main point of contact, the entire process is streamlined — from initial enquiry through to delivery — saving you time and effort.

There’s no need to liaise with multiple venues or suppliers, as everything is coordinated and paid for through Eureka Events. You’ll also have access to a team of experienced event professionals who can guide you through venue options, timings, budgets and event requirements, ensuring nothing is overlooked and the event runs smoothly.

Overall, the agreement removes complexity and admin, allowing you to focus on the purpose of your event rather than the logistics.
